Coaching Agreement

Thank you for choosing to work with Feel Vibrant! Fitness.


This Coaching Agreement has been designed to clearly outline the coaching relationship between Feel Vibrant! Fitness and you, the client, including expectations, responsibilities, payment arrangements,

scheduling policies and important health and safety information.


The intention of this agreement is to support a positive, professional and respectful coaching experience for both parties.


Please take the time to read through this agreement carefully before commencing coaching services.


Clients are encouraged to ask any questions prior to signing.

1. Coach & Business Details

In this agreement, “Coach”, “we”, “our” and “us” refers to Feel Vibrant! Fitness and Anuschka Wyatt-Weeks.

2. Client Information

The client agrees to provide accurate and up-to-date personal, emergency contact and health information prior to commencing coaching services.


The client agrees to notify Feel Vibrant! Fitness of any changes to:


  • contact details

  • emergency contact information

  • medical conditions

  • injuries

  • medications

  • pregnancy status

  • physical or mental health conditions

  • any other factor that may affect participation in exercise

3. Coaching Summary

Coaching services, package inclusions and scheduling arrangements will be discussed and agreed upon as part of the onboarding process.

4. Coaching Services

Feel Vibrant! Fitness provides personalised movement coaching services designed to support women through various life stages and transitions.


Movement coaching at Feel Vibrant! Fitness extends beyond traditional exercise instruction and may include support with:


  • movement confidence and body awareness

  • strength, mobility and stability development

  • nervous system-aware training approaches

  • recovery and sustainable exercise habits

  • education around movement, posture and wellbeing

  • navigating physical changes through different life stages


Movement coaching services include the practical coaching, programming and guidance provided during coaching appointments to support each client’s individual goals, needs and abilities.


Services may support women through areas including, but not limited to:


  • pregnancy

  • postnatal recovery

  • perimenopause

  • menopause

  • general strength and wellbeing

  • mobility and stability

  • nervous system-aware movement and recovery support


Services may include:


  • 1:1 personal training

  • small group personal training

  • online coaching sessions via Zoom where appropriate

  • movement education and exercise guidance

  • breathwork, mobility and recovery-based practices


Coaching services are educational and supportive in nature and are not intended to replace medical advice, diagnosis or treatment.

5. Coaching Appointments & Commitment

Feel Vibrant! Fitness primarily offers ongoing weekly coaching appointments.


Standard coaching appointments are:


  • 60 minutes in duration

  • scheduled weekly

  • conducted in person unless otherwise agreed


Some clients may undertake:


  • multiple appointments per week

  • customised appointment durations

  • alternative coaching arrangements


where agreed in writing and subject to availability.

Initial Commitment

All new coaching clients commence with a minimum initial commitment period of 12 weeks unless otherwise agreed.


This minimum commitment is designed to:


  • support consistency

  • allow time for meaningful progress

  • establish movement foundations

  • create an effective coaching relationship


Following the initial commitment period, coaching will continue on an ongoing rolling basis unless cancelled in accordance with this agreement.

6. Payments

Payment Structure

Coaching fees are paid via recurring automatic payments using Stripe through Wix Plans or secure payment links.


Payments are processed in advance on a recurring weekly basis unless otherwise agreed.


Initial consultation fees are payable separately prior to the consultation appointment.

Payment Responsibility

The client agrees to:


  • maintain valid payment details

  • ensure sufficient funds are available

  • update payment details if cards expire or change


If a payment fails, Feel Vibrant! Fitness reserves the right to pause future coaching appointments until payment is resolved.

Pricing Changes

Feel Vibrant! Fitness may review pricing from time to time.


Clients will be provided with reasonable notice prior to any pricing changes taking effect.

7. Scheduling, Rescheduling & Cancellation Policy

Scheduling

Coaching appointment times and coaching frequency will be agreed during the onboarding process based on client needs, coach availability and the selected coaching package.


Coaching appointments are scheduled in advance to support consistency, continuity and ongoing progress.


Where possible, Feel Vibrant! Fitness aims to maintain recurring coaching appointment times to help support routine, accountability and the overall coaching experience.


While every effort will be made to maintain preferred coaching appointment times, changes may occasionally be required due to scheduling or operational needs.

Rescheduling

Requests to reschedule coaching appointments are encouraged to be discussed in person during a coaching appointment and confirmed via email to anuschka@feelvibrantfitness.au or via SMS to 0434047391.


Feel Vibrant! Fitness will offer an alternative coaching appointment time when requested and a minimum of 24 hours’ notice is given.


Alternative coaching appointment times are subject to coach availability.


Where a coaching appointment cannot be accommodated within the same week, the appointment may be carried forward as a make-up session.


Make-up sessions are subject to coach availability and are to be used within 14 days of the original session unless otherwise agreed.


Unused make-up sessions are not redeemable for cash, refunds or credits.

Cancellation Policy

Coaching appointments not rescheduled with a minimum of 24 hours’ notice are deemed cancellations.


Coaching appointment cancellations should be communicated via SMS to 0434047391.


Cancelled coaching appointments, including no-shows, are not eligible for rescheduling or make-up sessions.


While the cancellation policy exists to protect reserved coaching time and support scheduling consistency, genuine emergencies or exceptional circumstances will be considered at the discretion of Feel Vibrant! Fitness.

8. Coaching Pause Policy

Clients may request a temporary coaching pause to their coaching agreement due to:


  • illness

  • injury

  • travel

  • family circumstances

  • other approved reasons

Pause Conditions

  • Requests for coaching pauses are encouraged to be discussed in person during a coaching appointment and confirmed via email to anuschka@feelvibrantfitness.au or via SMS to 0434047391.

  • Feel Vibrant! Fitness offers up to 6 weeks of standard coaching pauses per calendar year.

  • A minimum coaching pause period of 7 days applies.

  • A minimum of 7 days’ notice for coaching pause requests is preferred where possible.

  • Requests made with less than 7 days’ notice may not allow sufficient time to adjust scheduled payments in line with the coaching pause period.

  • Coaching appointments scheduled within 24 hours of a coaching pause request remain subject to the Cancellation Policy outlined in this agreement.

  • Extended medical coaching pauses may be considered at the discretion of Feel Vibrant! Fitness.


Preferred coaching appointment times may not be guaranteed following a coaching pause period, however every effort will be made to accommodate preferred scheduling arrangements.


Where applicable, pausing scheduled payments during a coaching pause period may also temporarily suspend access to educational resources, video libraries, courses or other digital inclusions associated with the coaching package.

9. Ending Coaching

Feel Vibrant! Fitness understands that personal circumstances, priorities and life stages can change over time. While long-term coaching relationships are valued, the goal is always to support clients in a way that feels sustainable, supportive and appropriate for their individual needs and circumstances.


Clients are encouraged to discuss ending coaching verbally during coaching appointments, however notice must also be confirmed via email to anuschka@feelvibrantfitness.au.

Ending Coaching at the Completion of the Initial Commitment

Clients choosing not to continue coaching beyond their initial coaching commitment are required to provide a minimum of 14 days’ notice prior to the end of that commitment period.

Ending Ongoing Coaching

Following completion of the initial coaching commitment, coaching will continue on an ongoing rolling basis unless ended in accordance with this agreement.


Clients may end ongoing coaching at any time by providing a minimum of 14 days’ notice.


This notice period allows appropriate coaching, scheduling and payment arrangements to be finalised.


Payments scheduled during the notice period will continue as normal.


Coaching agreements cannot be paused during the notice period.

Exceptional Circumstances

In exceptional circumstances, Feel Vibrant! Fitness may, at its discretion, agree to modify or end a coaching arrangement earlier than the initial commitment period where considered appropriate.


Feel Vibrant! Fitness reserves the right to end coaching services where appropriate during the initial commitment period or ongoing coaching phase, including but not limited to situations involving:


  • inappropriate behaviour

  • repeated missed payments

  • ongoing cancellation issues

  • safety concerns

  • circumstances where coaching is no longer considered appropriate

10. Health & Medical Responsibility

The client acknowledges that participation in exercise involves physical effort and carries inherent risks.


The client confirms that:


  • they are medically and physically able to participate in exercise unless otherwise disclosed

  • they have disclosed any known medical conditions, injuries or relevant health concerns

  • they will notify Feel Vibrant! Fitness of any changes to their health status


If unsure whether exercise is appropriate, the client agrees to seek medical advice prior to participating.


Feel Vibrant! Fitness may request medical clearance where considered appropriate.

11. Scope of Practice

Feel Vibrant! Fitness provides exercise coaching and general wellbeing support within the scope of a registered exercise professional and AUSactive Accredited Professional.


Services provided do not constitute:


  • medical advice

  • physiotherapy

  • psychological counselling

  • nutritional therapy

  • diagnosis or treatment of medical conditions


Where appropriate, clients may be encouraged to seek support from qualified allied health or medical professionals.


Feel Vibrant! Fitness values collaborative care and may work alongside other health professionals where beneficial and with client consent.

12. Assumption of Risk & Liability

The client understands that participation in exercise and movement-based activities carries inherent risks, including but not limited to:


  • muscle soreness

  • injury

  • aggravation of existing conditions

  • falls or accidents

  • cardiovascular events


The client voluntarily participates in coaching appointments and accepts responsibility for their participation.


Clients are expected to follow reasonable safety instructions provided during coaching appointments, including guidance relating to equipment use and appropriate footwear.


To the fullest extent permitted by law, Feel Vibrant! Fitness will not be liable for:


  • injury

  • illness

  • loss

  • damage

  • theft of personal belongings


except where required by Australian law.


Nothing in this agreement excludes rights that cannot legally be excluded under Australian Consumer Law.

13. Online Coaching

Where coaching appointments are conducted online via Zoom:


  • the client is responsible for ensuring they have a safe exercise environment

  • the client is responsible for appropriate internet access and technology

  • coaching appointments interrupted by significant technology issues may be rescheduled at the discretion of Feel Vibrant! Fitness


The client acknowledges that online coaching has limitations compared to in-person coaching and that exercise technique cannot always be assessed with the same accuracy as face-to-face sessions.

14. Coach Illness, Leave & Studio Closures

If Feel Vibrant! Fitness is unable to deliver a scheduled coaching appointment due to coach illness, emergency, planned leave or unforeseen circumstances, clients will be offered one of the following where appropriate:


  • a rescheduled coaching appointment

  • a make-up session

  • an online Zoom coaching appointment

  • a temporary pause to scheduled payments where applicable


Reasonable notice of planned leave will be provided wherever possible.


Feel Vibrant! Fitness is committed to minimising disruption to client coaching wherever reasonably practicable.

15. Communication

Feel Vibrant! Fitness aims to respond to client communication as promptly as possible, typically within 1–2 business days during normal business hours.


Occasionally, responses may be provided outside normal business hours, however this may vary depending on availability and personal commitments.


Communication outside scheduled coaching sessions is intended for:


  • scheduling

  • general support

  • coaching-related questions


Where additional coaching support needs extend beyond the standard inclusions of the coaching package, adjustments to the coaching package or support arrangements may be discussed where appropriate.

16. Privacy

Personal information collected by Feel Vibrant! Fitness is handled respectfully and stored securely.


Client information will not be shared with third parties without consent unless required by law.


Clients may opt in or out of marketing emails and newsletters at any time.

17. Photography, Video & Testimonials

Separate optional consent forms may be provided for:


  • testimonials

  • photography

  • video recordings

  • social media or marketing content


Consent is entirely optional and declining consent will not affect coaching services.

18. Changes to this Agreement

Feel Vibrant! Fitness may update or amend this agreement from time to time where reasonably required for operational, legal, service or business purposes.


Clients will be provided with reasonable notice of any significant changes prior to those changes taking effect.


Continued participation in coaching services following notification of updated terms constitutes acceptance of the revised agreement.

19. Agreement Acceptance

This agreement is issued by Feel Vibrant! Fitness and becomes effective upon client acceptance.


By submitting this agreement electronically, the client acknowledges they:


  • have read and understood this agreement

  • have had the opportunity to ask questions

  • voluntarily agree to these terms

  • understand the risks associated with exercise participation
